5 Tasks You Should Delegate to a VA This Week

One of the most common things we hear from new clients during our discovery calls is: "I know I need help, but I honestly don't know what I can actually hand over."

When you are used to doing everything yourself, it’s hard to imagine letting go. But delegation is a muscle you have to build. If you are ready to reclaim your time, here are 5 tasks you can delegate to an &Breathe Virtual Assistant this week.

1. Inbox Triage

Stop using your inbox as a to-do list. Your VA can monitor your email, delete the spam, unsubscribe you from newsletters, reply to routine FAQs using templates you’ve approved, and flag only the emails that genuinely require your personal attention.

2. Diary and Meeting Coordination

The endless back-and-forth of "Does Tuesday at 2pm work? No? How about Thursday at 10am?" is a massive waste of time. Hand over your calendar access. Let your VA liaise with clients, send the Zoom links, and ensure you have buffer time between calls.

3. CRM Updating and Data Entry

You had a great networking event and collected 20 business cards. They are currently sitting in a pile on your desk. Your VA can input all those details into your CRM (Customer Relationship Management) system, tag them appropriately, and even send a polite "lovely to meet you" follow-up email on your behalf.

4. Invoicing and Expense Tracking

Chasing late payments is awkward and time-consuming. A VA can raise your invoices on the 1st of the month, send polite reminders on day 14 and day 30, and log your digital receipts into software like Xero or QuickBooks so your accountant is happy at year-end.

5. Travel and Itinerary Planning

Need to attend a conference in Manchester? Don't spend two hours comparing train prices and looking for hotels near the venue. Tell your VA your budget and preferences, and let them present you with a neat, booked itinerary.

Delegating these five tasks alone could save you anywhere from 5 to 10 hours a week. What could you do with an extra 10 hours?
